An invitation is how a new person joins your organization. This page is the exact reference for how long an invite lasts and how it behaves over its life. For sending one, see Invite a team member.
Expiry
| Property | Value |
|---|---|
| Time an invite stays valid | 7 days from when it’s sent |
| What expiry is measured against | The Expires date shown in Pending Invitations |
After 7 days the invitation can no longer be accepted. Resending it (see below) issues a fresh 7-day window.
Status
An invite is in one of two states:
| Status | Meaning |
|---|---|
| Pending | Sent, not yet accepted, still within its 7 days. |
| Expired | The 7 days have run out. The link no longer works. |
There is no separate “accepted” entry — once a person accepts, the invite leaves Pending Invitations and they appear in the member list instead.
Resending
An admin can resend a pending invitation from the Members page.
| Rule | Detail |
|---|---|
| How many times you can resend | Unlimited — there is no cap and no cooldown. |
| What must be true to resend | The invite must still be Pending (not yet accepted). |
| What a resend does | Sends the invitation email again and refreshes the 7-day expiry. |
Resending is the way to recover an invite the person lost or one that’s about to lapse. A resend before expiry extends the window; a resend keeps the same invitation rather than creating a second one.
After expiry
An expired invitation cannot be revived as-is. To get the person in:
- Resend it from Pending Invitations — this issues a new 7-day window on the same invite.
- Or revoke it and send a fresh invitation to the same address.
The invited person, opening an expired link, sees “Invitation expired” and a note to ask you for a new one.
Revoking
Revoking cancels a pending invitation before it’s accepted. A confirmation dialog asks you to confirm; once revoked, the link stops working and that email address is free to be invited again. Revoking is an admin action.
What an invite carries
An invitation is bound to two things set when it’s sent:
- The email address — the person must accept while signed in with that exact address. A different account shows a “Wrong account” message.
- The role — Member or Admin, applied the moment they accept. Changing it afterwards is a separate action; see Change a member’s role.
